Identify the job
Put the company, site address, work-order reference, date and agreed scope on the closeout record. Name the people responsible for review and acceptance.
Agree the photographs
Specify the before-and-after views that matter: equipment locations, rack layout, labels, cable routing and relevant device identifiers. Avoid people, credentials, private customer information and unrelated site details.
Specify labels and records
Agree the naming convention before installation. State whether a port schedule, cable schedule, marked-up plan or equipment inventory is required, and identify the preferred file format.
Define testing evidence
Name the tests, equipment requirements and result formats in the scope. Distinguish a basic connectivity check from any instrument-based certification the project requires; confirm capability before dispatch.
Record exceptions
Document access restrictions, missing materials, deviations from scope and open items. Identify who owns each next step and whether it affects acceptance.
Complete the handover
Use the approved transfer method for photographs and records. Record the reviewer, acceptance status and any remaining actions. A submission is not automatically a project sign-off.
